What Data We Collect
We only process the information you provide when completing the enquiry form:
- JOYclub profile name
- Name of the person responsible for payment and name of the accompanying guest
- Email address and telephone number
- Address (street, house number, postcode, city and country)
- Preferred arrival date, room category and room number
- Any comments you choose to provide
- Acceptance of the booking and cancellation terms, including date and name
Based on this information, we calculate your departure date, number of nights and total price. We also record the date and time of your enquiry.
Purpose and Legal Basis
Your data is used solely to process your enquiry and offer you a room.
The legal basis is Article 6(1)(b) of the General Data Protection Regulation (GDPR), covering steps taken at your request prior to entering into a contract.
A booking is only confirmed once we have sent you confirmation.
Who Receives Your Data
- SW-Eventmanagement GmbH – processes your enquiry.
- The hotel hosting the event – has access to your enquiry details as it is responsible for providing accommodation.
- Google Ireland Limited – your enquiry is entered into a Google Sheets spreadsheet used to manage enquiries.
- Resend – sends us an internal email notification when a new enquiry is received, and sends you the confirmation email, with a blind copy to us.
- Cloudflare – provides the hosting infrastructure for this website and receives the submitted form data.
These service providers may also process data outside the European Union, particularly in the United States. Such transfers are based on the European Commission's Standard Contractual Clauses or the EU–US Data Privacy Framework.
How Long We Keep Your Data
Enquiries that do not result in a booking are deleted six months after the last contact.
If a booking is made, we retain the data for three years after the end of the year in which the trip takes place.
Invoices and booking records are retained for ten years to comply with tax and commercial law requirements.
Cookies and Analytics
This website does not use cookies or track visitor statistics. No analytics or advertising services are integrated.
Your Rights
You have the right to request access to your personal data, its rectification or erasure, or restriction of its processing.
You also have the right to data portability and the right to object to processing.
